Passenger Name Changes and Spelling Corrections
No Action Required The following details do not impact a customer's ability to fly and do not require any amendments or fees:
Middle names: Not required for the booking.
Capital letters: Case sensitivity does not matter to airline or hotel systems.
Titles: Incorrect titles (e.g., Mr, Mrs, Miss) do not affect travel.
Marriage Name Changes
Name changes due to marriage are handled differently depending on the specific airline's policy.
Bot Action / Customer Routing: Direct the customer to contact the business via Live Chat. An agent will need to check the operating airline's specific policy and request the necessary marriage documentation.
Self-Serve/Bot Action: Spelling Corrections and Passenger Swaps For minor typos or full passenger swaps, direct the customer to request the change via their online account:
Log into My Bookings.
Navigate to View and Manage Booking, then select the Make Changes menu.
Select Passenger Changes.
Choose either Correct a Spelling (for typos) or Change Passenger (for a full name replacement).
The system will provide a full breakdown of the costs. If the customer accepts the quote, they submit the request for the Amendments team to finalize with the airline and hotel.
Amendment Costs Name changes and passenger swaps incur the following fees:
On the Beach Admin Fee: £30 per person (if requested more than 60 days before departure) or £45 per person (if requested within 60 days of departure).
Supplier Fees: The airline will likely charge their own amendment fee in addition to the admin fee.
Time Constraints (Within 7 Days) If the customer is within 7 days of their departure date, the business is often unable to process any name changes or spelling corrections due to supplier restrictions.
Adding Passengers to an Existing Booking
Policy for Adult Passengers (Aged 18 and Over)
The business does not allow additional adult passengers to be added to an existing booking.
Any additional adults wishing to join the trip must create a brand-new, separate booking via the website homepage.
Linking Bookings: Once the new booking is confirmed, the customer can submit the Link Bookings Form. This simply adds an internal note to the business's system so agents know the parties are travelling together; it is not passed on to the airline or hotel.
Room Location Requests: The business cannot request that hotel rooms be located close together. Customers must contact the hotel directly (via the hotel's official website) to request rooms near each other.
Policy for Minors (Infants and Children Under 18)
Minor passengers can be added to an existing booking by submitting a request for a quote.
Infant Policy (Under 2): Customers who are pregnant must wait until the baby is born and has a finalized legal name before submitting a request to add them to the booking.
Fees and Payment Terms: An admin fee of up to £75.00 per person applies. The low deposit option is not available for additional passengers; the full cost of the new flights plus the admin fee must be paid entirely upfront.
SLA: Once a request is submitted, the specialist team will check availability and provide a full quote within 14 days. No changes are made to the booking until the customer explicitly replies to confirm they accept the quote.
Self-Serve/Bot Action: Requesting to Add a Minor If the customer needs to add a child or infant, direct them to submit the request via their online account:
Log into My Bookings.
Scroll down to the Your Holiday menu.
Select Passengers.
Review the current travel party and select Add Passengers at the bottom.
Complete and submit the form to receive a quote.
Removing a Passenger from a Booking
Policy on Passenger Removal
The business is unable to manually remove a passenger from an existing booking.
No Pre-Travel Action Required: The customer does not need to formally remove the passenger for the rest of the party to travel. The lead passenger simply needs to inform the airline at the airport check-in desk and the hotel at reception that the specific passenger will not be joining them.
Financial and Refund Policies
Flights: Flights are strictly non-refundable from the moment the holiday is confirmed. The full cost of the flight for the non-traveling passenger must still be paid.
Accommodation: Most hotels charge per room rather than per person. As long as the room is still being occupied by the remaining members of the party, the total hotel cost will remain the same.
Travel Insurance Claims
Because the business cannot process a refund for a non-traveling passenger, customers must check their travel insurance policy to claim back any lost costs.
Advise the customer that their original booking confirmation paperwork serves as the required proof of the initial cost for their insurance claim.
